What we’re looking for:

This position is responsible for providing efficient administrative support to the Executive team, People and Culture team and our Centre Support Office (CSO). You will provide professional and confidential administration services to support effective service delivery and day-to-day functioning.

The role:

You will be responsible for:-

  • Providing support to members of the Executive Team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
  • Ensuring the Executive Team calendars are managed effectively.
  • Manage, coordinate, and arrange Executive Team travel and travel-related activities, including hotel bookings, transportation, and meal coordination.
  • Provide Reception cover for all relevant duties, including answering phones, coordinating incoming and outgoing mail and greeting visitors, as required.
  • Filing, binding, record-keeping, and other administrative tasks to support employees, as delegated by the Executive Assistant & Office Manager.
  • Credit card reconciliation.
  • Assist with the coordination of CSO functions and events. 
  • Assist the People and Culture Manager with CSO related recruitment and onboarding tasks.

About you:

  • Proven experience working in a Personal Assistant role supporting multiple Executives.
  • Demonstrated experience with the Microsoft Office suite and Zoom software.
  • Administration or Human Resources qualifications highly desirable.
  • Excellent organisational and time management skills.
  • Ability to prioritise and manage competing workloads and priorities.
  • A positive and friendly demeanour with a strong customer service focus.
  • Collaborative team player.
  • High attention to detail.
  • Adaptability and flexibility to changing work environments and requirements.
